Refund & Cancellation Policy

1. Nature of Services
R. D. Jain & Associates provides professional Chartered Accountancy services including audit, assurance, taxation, advisory, and consultancy services. The terms of each engagement are governed by a written Engagement Letter executed between the Firm and the client, which forms part of this Policy.
2. Engagement Letter Governs
The primary terms relating to fees, refunds, cancellations, and termination are set out in the individual Engagement Letter signed for each professional service. In case of conflict between this Policy and an Engagement Letter, the Engagement Letter shall prevail.
3. Cancellation by Client
A client may cancel a professional engagement at any time by providing written notice to support@rdjca.com. The following terms shall apply:
- Before commencement of work: If the engagement is cancelled before any substantive work has commenced, the full advance payment (if any) shall be refunded after deduction of administrative charges (if applicable).
- After commencement of work: Where work has commenced, the Firm shall be entitled to retain a proportionate fee corresponding to the work already performed. Any excess amount paid shall be refunded.
- Completed engagements: Fees for engagements that have been completed and deliverables submitted shall not be refundable.
4. Cancellation by the Firm
The Firm reserves the right to terminate any engagement in accordance with the ICAI Code of Ethics, including but not limited to circumstances involving:
- Conflict of interest
- Non-cooperation by the client or failure to provide required information
- Non-payment of fees as per agreed terms
- Breach of professional ethics or applicable laws by the client
- Force majeure events
In such cases, fees shall be adjusted on a pro-rata basis for work already performed.
5. Online Payments
Where fees are paid through online channels:
- Refunds, if approved, shall be processed to the original payment method within 7 to 14 business days from the date of approval.
- Payment gateway charges or transaction fees, if any, shall be borne by the client and are non-refundable.
- Refunds for international payments shall be subject to applicable foreign exchange regulations and bank charges.
6. Non-Refundable Items
The following amounts shall not be refundable under any circumstances:
- Statutory fees paid on behalf of the client to government authorities (Income Tax Department, GST Authorities, MCA, ICAI, etc.)
- Third-party charges such as ROC fees, stamp duties, notary fees, and similar disbursements
- Fees corresponding to professional services already rendered
- Subscription-based services after the start of the subscription period
7. Disputes
In case of any dispute regarding fees, cancellation, or refunds, the client shall first attempt resolution through written communication with the Firm. If such resolution is not achieved, disputes shall be subject to:
- The grievance redressal mechanism of the Institute of Chartered Accountants of India (ICAI), where applicable
- The exclusive jurisdiction of the courts at Jalgaon, Maharashtra
8. Process to Request a Refund
To request a refund, please send a written request to refund@rdjca.com containing:
- Your full name and contact details
- Engagement reference / invoice number
- Date of payment and amount paid
- Reason for the refund request
- Preferred mode of refund
Refund requests shall be acknowledged within 3 business days and processed within 14 business days of approval.
